We are seeking an organized and detail-oriented individual to join our team as a Business Office/Administrative manager. The Administrative manager will be responsible for Individual fund management,  Individual Benefit Planning and Management, Manager’s expense cards management, human resources management oversight, rents from individuals, Rep Payee Services,  Billing, and managing all administrative personnel.  The Administrative Manager will maintain current and accurate records of all individual account Receivable (A/R), Accounts Payable (A/P,  bank deposits, census, and individual personal accounts. Experience in collections is a must.
Organize, develop, and maintain business office systems in accordance with Center standards. Supervise and train staff performing front desk, human resources and all administrative personnel.  Perform other duties as assigned. This position requires a proactive and results-driven professional with strong leadership skills to ensure the smooth operation of the Agency.


  1. Conducts Research and Analysis of Organizational Trends Including Review Of Reports And Metrics From The Organization’s Human Resource Information System (HRIS) Or Talent Management System.
  2. Supervising HR personnel, designing onboarding procedures, implementing HR strategies that support business objectives, forecasting staffing needs, mitigating risk, maintaining employee records, managing budgets, designing accountability mechanisms, and overseeing overall employment needs.
  3. Performs and oversees the completion of all Administrative-related tasks.
  4. Assists with Medicaid applications, and works with individuals, families, and applicable outside agencies to finalize Agency service coverage through Medicaid
  5. Establishes and maintains a system of financial record keeping, including issuing receipts, preparing and making bank deposits, and recording payments using proper segregation of duties.
  6. ensures prompt payment of claims.
  7. Manages census activities including daily weekly, and monthly balancing with residential and community services departments.
  8. Perform all billing-related functions for the Agency
  9. Responsible for petty cash and collections.
  10. Must have an understanding of Accounts Receivable.
  11. Must have an understanding of Accounts Payable.
  12. Monitors and reports on key metrics such as cash collections, days, outstanding, unbilled, denials, etc
  13. Maintain current and accurate records of all individual account Receivable (A/R), Accounts Payable (A/P, bank deposits, census, and individual personal accounts
  14. Assists in the general orientation of new employees including the initiation of personnel and health records.
  15. Make weekly collection calls to families for individual liabilities and any other outstanding accounts.
  16. Update Executive Director on all Medicaid changes including admissions, discharges, payer changes, and income changes.
  17. Establishes and implements a system for the collection of delinquent accounts.
  18. Supervise administrative staff and provide leadership to ensure efficient office operations.
  19. Maintain and update individual records, ensuring compliance with regulatory requirements.
  20. Coordinate communication between different departments within the organization.
  21. Serve as a key liaison between the executive team, staff, residents, and external stakeholders.
  22. Coordinate and facilitate regular meetings, conferences, and training sessions as necessary.
  23. Assists with establishing systems and procedures for consistent operations in collaboration with other intra-department and interdepartmental personnel.
